1. SUPERVISION: The Director of Human Resources has the authority to direct the work of and evaluate this position

  1. WORK SCHEDULE: Monday – Friday, 8:30 AM – 5:00 PM (plus available for overtime when necessary)
  1. POSITION OVERVIEW:
  • To assist human resources and other office staff by fulfilling receptionist and administrative functions in a professional and timely manner.
  1. MINIMUM REQUIREMENTS TO HOLD THIS POSITION:
  • Be helpful, energetic and friendly.
  • High school diploma or GED required; college degree in a related field preferred
  • Advanced computer skills and thorough knowledge of Microsoft Word, Excel, PowerPoint and Outlook
  • Must type minimum of 50 WPM and possess excellent business writing, editing and proofreading skills

  1. DIVISION RESPONSIBILITIES (SUBJECT TO REVISION):
  • Serve as office receptionist for all phone calls and visitors
    • Be helpful, energetic and friendly
  • Oversee all incoming and outgoing mail: open invoices/
  • Scan in all quotes, job folders, and job books
    • Breakdown job books and return to engineering dept
  • Process and distribute completed Mechanic Surveys
  • Oversee the weekly cleaning of the office
  • Complete Director of HR’s monthly credit card report
  • Create and package presentation boards
  • Replenish printed forms in rack as needed
  • Assist with the Access job costing system
  • Purchase and maintain office supplies
  • Purchase and refill almonds & apples as needed
  • Schedule travel as requested
  • Ship all UPS/FedEx marketing materials
  • Reconcile UPS invoices
  • Assist human resources as time permits with various tasks
  • Attend to other project assignments as delegated by supervisor
